Why the control matters
A cancellation can release valuable time or create hidden rework across travel, preparation, customers, and leadership teams. A cancellation cost log records operational consequences without assigning a fictional dollar value to every changed meeting.
Build the record
Capture event type, notice interval, initiator, participants affected, preparation already completed, external fees, dependencies displaced, rescheduling effort, and final disposition. Keep sensitive meeting substance in its authorized record.
Run the workflow
Use reason categories such as priority shift, prerequisite missing, travel disruption, participant unavailable, duplicate forum, or meeting no longer needed. The category describes the event; it should not be used to score an individual.
Review the evidence
Review patterns monthly. Repeated last-minute cancellations of the same forum may indicate weak intake or missing decision criteria. High preparation loss may justify a go/no-go checkpoint before teams produce full materials.
Close the loop
Pair cancellation counts with meetings deliberately removed, decisions completed asynchronously, and time successfully redeployed. The purpose is better calendar design, not pressure to preserve meetings that no longer earn their place.
Authority and limitations
Use a CEO Calendar Cancellation Cost Log is an operating workflow, not legal, financial, security, employment, travel, or governance advice. The executive office should approve authority, information handling, retention, and exception ownership before using it.
